Webcodian LLP Institute Affiliation Rules & Regulations

1. Introduction

These rules and regulations are applicable to all institutes, coaching centers, and training centers taking affiliation under Webcodian LLP.
The purpose of affiliation is to maintain quality education, proper management, branding standards, and smooth operational processes among all affiliated centers.

2. Eligibility for Affiliation

The applicant institute must fulfill the following conditions:

• Institute must have a proper classroom/training environment.
• Minimum basic computer infrastructure should be available.
• Institute owner must provide valid ID proof and address proof.
• Institute must follow ethical educational practices.
• The center should not be involved in illegal activities or fake certification practices.
• Institute must maintain discipline and professional conduct.

3. Affiliation Registration Process

To get affiliation:

1. Fill the affiliation application form.
2. Submit required documents.
3. Verification by Webcodian LLP team.
4. Approval after successful verification.
5. Affiliation ID and login credentials will be provided.
6. Institute can start operations after approval.

4. Required Documents

The following documents are mandatory:

• Aadhaar Card/PAN Card of Owner
• Passport Size Photograph
• Institute Address Proof
• Shop/Office Photo
• Mobile Number & Email ID
• GST Number (Optional)
• Educational Qualification Documents (Optional)

5. Affiliation Fees

• Affiliation fees are non-refundable.
• Renewal charges may apply yearly.
• Software, website, certificate system, and additional services may have separate charges.
• Fees can be revised by Webcodian LLP anytime with prior notice.

6. Institute Responsibilities

Affiliated institutes must:

• Maintain proper student records.
• Use only authorized study materials and branding.
• Conduct classes regularly.
• Provide proper guidance to students.
• Avoid false promises regarding jobs or government approvals.
• Maintain fee records and certificates properly.
• Follow all operational guidelines issued by Webcodian LLP.

7. Student Registration Rules

• Every student must be registered through the official system.
• Correct student details must be submitted.
• Fake registrations are strictly prohibited.
• Student photographs and documents should be verified before admission.

8. Certificate & Marksheet Rules

• Certificates will only be generated through the authorized system.
• Manual editing or duplication of certificates is strictly prohibited.
• Any misuse of certificate systems may lead to cancellation of affiliation.
• QR Code/Verification system should not be tampered with.

9. Branding & Marketing Rules

Affiliated institutes may use:

• Authorized logo
• Affiliation badge
• Marketing materials provided by Webcodian LLP

However:

• Institutes cannot claim themselves as a government organization unless officially approved.
• False advertisements are prohibited.
• Brand misuse may result in legal action.

10. Website & Software Usage Policy

If the institute uses software or website services provided by Webcodian LLP:

• Login credentials must remain confidential.
• Unauthorized modification or resale is prohibited.
• Data misuse or hacking attempts will result in immediate termination.
• Renewal and maintenance charges must be paid on time.

11. Payment Rules

• All payments must be made through official payment methods.
• Pending dues may suspend institute services.
• Payment receipts should be maintained safely.

12. Inspection & Verification

Webcodian LLP reserves the right to:

• Verify institute details anytime.
• Conduct online or offline inspections.
• Ask for operational records if required.

13. Affiliation Cancellation

Affiliation may be suspended or cancelled if:

• Fake activities are found.
• Misuse of certificates/software occurs.
• Rules and regulations are violated.
• Misleading advertisements are used.
• Fees remain unpaid for long periods.

After cancellation:

• Institute must stop using all branding and services immediately.
• Certificates and affiliation claims cannot be used further.

14. Renewal Policy

• Affiliation may require yearly renewal.
• Renewal depends on institute performance and compliance.
• Delayed renewal may temporarily deactivate services.

15. Legal Jurisdiction

Any dispute related to affiliation shall be subject to the jurisdiction of courts located in Uttar Pradesh, India.

16. Declaration

By applying for affiliation, the institute owner confirms that:

• All submitted information is correct.
• The institute agrees to follow all rules and regulations.
• Webcodian LLP has the authority to update policies whenever required.
